General Meeting Ground Rules to consider

·        Be respectful and polite.

·        Raise hands - stay in order except for: point of clarification or point of process

·        Don’t interrupt a speaker

·        Stay on subject

·        Be concise, don’t repeat others

·        Be respectful, Be polite.

·        Everyone participates

·        Start and finish on time

·        One conversation at a time

·        Silence is agreement

·        Different opinions are welcome

·        Challenge ideas, not individuals

·        Disagree in private; unite in public

·        Do what you say you'll do

·        Treat everyone with courtesy and respect

·        Listen actively- respect others when they are talking

·        Listen to others with an open mind

·        One person speaks at a time- no cross talk

·        Be aware of your own and other’s participation-step up and step back!

·    Share your own experiences and opinions with “I” statements, rather than generalizing with “We” or “They” comments

·        Respectfully challenge an idea, not a person

·      Respect the groups’ time and keep comments brief and to the point

 

Kaizen Specific Ground Rules

        Respect others opinions

        Keep an open positive mind about Kaizens

        Exercises demand non-attribution. Exercise results will not be shared with others.

        Respect  kaizen concepts and tools

        Any questions leader will try to answer or give you  a source

        Unanswered questions will be placed on a parking lot

        Keep an open mind to change

        Maintain a positive attitude

        Never leave a meeting in silent disagreement

        Create a blameless environment

        One person, one vote – no position or rank in the process

        There’s no such thing as a dumb question

        Understand the process and “just do it”

        Practice consensus

        The Kaizen goal is to immediately implement changes and gain instant improvement.

        Be willing to accept assignments

        Any questions I will try to answer or give you  a source

        We will be going very fast. I may have to just move on to stay on schedule and table your question on the parking lot.

        Always be on time

          Everyone participates has an equal voice

          Single discussions - one speaker at a time

          Handle outside business on breaks

Pagers / phones on “stun”

          Function as a team

          Speak clearly so all can hear

          Parking lot / “3 knock” rule will be used

          Jargon / terms wall chart will be filled in as we go

          HAVE FUN!

 

Be willing to reach consensus. Keep an open mind that there probably is an acceptable decision that everyone can support, even if some degree of compromise is required.

Strive to meet the stated purpose and expected outcomes of the meeting. If you can achieve this, then the meeting will be successful. If you get stuck with difficult discussion, refer to the purpose and expected outcomes to re-focus energies.

Respect the agenda. Make sure the agenda details which items are listed for discussion, and which items involve decisions. Plan how much time is targeted for each item to make sure the meeting is finished in a respectable time frame.

Listen actively to others. Listen to understand what is being said. Do not “pretend” to listen while you are thinking of how to respond to statements others have made.

No one-on-one side meetings or conversations. This is really distracting. Essential discussion is meant for everyone!

Manage your own input – no long speeches. Be clear in thought when you have opportunity to give your opinion.

Do not interrupt other participants. Be respectful to others, as you would expect the same for yourself.

Leave the meeting with a clear sense of next steps. Make notes of who is responsible to do what and by when! Include this information in meeting minutes.

Discussions will be treated as confidential as appropriate.

Once consensus has been reached, support group decisions and actions. Do not leave the meeting after decisions have been made and talk about how your idea was the better one.

 

Start / end our meetings on time

Come to meetings prepared.

Stay on task; no side conversations

Listen to others and don’t interrupt.

Follow an agenda

Operate on consensus – seek general agreements all can “live with.”

Make decisions based on clear information.

Bring closure to decisions

Identify actions that result from decisions

Members support committee recommendations
